Job Summary

The Heavy Haul Truck Dispatcher plays a critical role in coordinating the safe, efficient, and compliant transportation of heavy equipment, oversized loads, and construction materials for civil construction projects. This position is responsible for organizing, scheduling, budgeting, and tracking all owned and third-party trucking operations while ensuring optimal fleet utilization, on-time deliveries to job sites, and full adherence to DOT regulations and company safety standards.

Essential Duties and Responsibilities

- Organize, schedule, budget, track costs for, and physically track all owned and third-party trucking activities to support project needs.

- Plan, schedule, and dispatch heavy haul trucks and drivers for the movement of heavy construction equipment (excavators, dozers, cranes, loaders, etc.), oversized loads, and bulk materials to and from job sites, yards, and vendors.

- Coordinate daily transportation needs with project managers, superintendents, and equipment managers to prioritize loads and align with project schedules.

- Develop and optimize efficient routes while considering load dimensions, weight restrictions, permits, road conditions, weather, and traffic.

- Secure and manage oversize/overweight permits as required for heavy haul movements.

- Ensure DOT compliance of all trucks and trailers, including monitoring Hours of Service (HOS), vehicle inspections, and regulatory documentation.

- Assist in the staffing of all CDL truck drivers, including coordination of driver availability and scheduling.

- Source quotes for third-party trucking services as well as fill material purchase and disposal.

- Assist in the estimation process involving TGS on-road and off-road trucking and third-party trucking requirements.

- Communicate clearly with drivers via phone, two-way radio, or dispatch software, providing load details, route instructions, delivery windows, and real-time updates.

- Monitor driver Hours of Service (HOS), vehicle status, and load progress to prevent delays and ensure regulatory compliance.

- Act as the primary point of contact between drivers, project teams, customers, and external carriers when supplemental hauling is needed.

- Troubleshoot and resolve transportation issues, including delays, breakdowns, route changes, or permitting problems.

- Maintain accurate records of dispatches, load confirmations, delivery times, permits, costs, and driver logs in the company’s transportation management system.

- Promote and enforce company safety policies, DOT regulations, and best practices for securing and transporting heavy loads.

 

Required Skills and Qualifications

- High school diploma or GED required; associate degree or logistics-related coursework preferred.

- 2+ years of dispatching experience, preferably in heavy haul, construction, or specialized transportation.

- Strong working knowledge of DOT regulations, Hours of Service rules, and oversize/overweight permitting processes.

- Familiarity with heavy construction equipment and the unique requirements of hauling oversized or heavy loads.

- Excellent organizational, multitasking, problem-solving, and cost-tracking skills.

- Strong verbal and written communication skills with the ability to remain calm under pressure.

- Proficient in dispatch software, GPS tracking systems, Microsoft Office Suite (especially Excel for budgeting/tracking), and basic computer applications.

- Ability to read maps, interpret load charts, and understand weight/height restrictions.

 

Preferred Qualifications

- Prior experience working in civil construction or heavy equipment transportation.

- CDL license (Class A) or previous driving experience in heavy haul is a plus.

- Knowledge of construction project scheduling, site logistics, and material hauling/ disposal processes.

 

Physical and Work Environment

This is primarily an office-based role with frequent use of computers and communication equipment. Occasional site visits or yard presence may be required. Must be able to work flexible hours, including early mornings, evenings, or weekends, to support project demands and urgent moves.
